If you’ve been shopping for a new multifunction device you’ve probably noticed a slightly puzzling trend. No matter who makes it, they all pretty much look the same. The only real difference is price, and even that’s not much of a factor. They all offer the same features, faxing, scanning, copying and printing.

To find the differences, you need to “look under the hood.” Buying an MFP is not just about what the machine can do, or the price. It’s about the level of support provided that makes the difference.

Mobile Adaptability and Security Are Vital
As more business becomes mobile, the functionality of your MFP can become challenging for your IT department. Does the device you’re considering support mobile print? More importantly does it support YOUR mobile devices. Make sure it will integrate easily with your existing technology. If mobile print is not included, can the machine be enabled? Is there an additional cost? Asking these questions early will avoid problems later.

Security is another key issue. Today most MFPs offer the same network capability, Internet access and internal storage as every other computer. As a result they pose a potential security risk. Check if the device offers “Full System Security.” This is generally offered at the point of manufacture and means the machine is third party certified as completely secure in all areas.

If You Have Problems
At some point in its life-cycle your MFP will need service. Check the warranty. Who covers your service in the event of a problem? Is it the manufacturer or the reseller? Terms can vary widely ranging from 30 – 90 days even up to three years. Know before you sign! Also, check to make sure the warranty is written into your lease and service agreement. If it isn’t, find out why.

Finally, ask about service credits. When the tech arrives to fix your machine, who pays for the test copies they run while diagnosing and checking their work? Those costs can be significant over the life of a lease. If you’re not sure, ask. Then have it written into the service agreement to avoid problems later.

MFPs are a great addition to any office. The key is to look “under the hood” before you enter into any lease agreement. Asking the right questions early in the process can save you time, money and hassle later!
